How to set up business WiFi that actually works

Business WiFi should let people work without thinking about it. This guide is for a small business setting up a new office, replacing unreliable kit or trying to stop daily complaints about dropped calls and dead corners. It explains the decisions that make the biggest difference, in the order it is worth making them.

Do not treat office WiFi like home WiFi

A consumer router can be fine for a quiet home, but an office asks more of it. You may have phones, laptops, meeting-room screens, cloud apps, printers, cameras and visitors connected at the same time. Consumer kit is often placed wherever the broadband enters, has limited coverage controls and gives little useful information when something goes wrong.

Plan coverage before buying anything

Step 1: map the space and the work

Get a floor plan, even a simple one, and mark desks, meeting rooms, stock areas, reception and outdoor working spots. Note walls, glass partitions, metal shelving, lifts, plant rooms and thick brickwork. WiFi has to pass through those materials, and each one can weaken or distort the signal. Mark where the broadband equipment, network cabinet and power are likely to be.

Then ask what happens in each area. A room used for video meetings has different needs from a corridor. A busy training room may have thirty devices join at once. A till, payment terminal or VoIP handset may need a more dependable connection than a visitor checking email. Count devices honestly and allow for growth, because staff commonly carry more than one connected device.

Step 2: validate rather than guess

For a larger, awkward or high-use space, arrange a wireless survey before finalising locations. The aim is not to make every corner show a full signal icon. It is to provide usable coverage and capacity where people work, with enough overlap for devices to move around. A survey also spots nearby networks competing for the same radio channels. This is cheaper than buying extra access points after complaints begin.

Use wired backhaul to each access point

Where possible, run a network cable from each access point back to the switch. This is called wired backhaul. It avoids asking one WiFi signal to carry another WiFi signal and gives each access point a clear route back to the network. Power over Ethernet can carry power and data over the same cable, which keeps ceiling installations tidy and avoids relying on a nearby plug socket.

Wireless mesh can be useful where cabling is genuinely impractical, but it is a compromise. Each wireless hop can reduce available capacity and add another point to diagnose. Do not use mesh as a shortcut simply because cable work looks inconvenient. Plan the cabling while a new office is being fitted out; it is far easier before ceilings, decoration and furniture are in place.

Put access points where the people are

An access point does not need to sit beside the router. Place it centrally in the area it serves, normally high on a wall or ceiling, away from enclosed cabinets, large metal objects and microwave ovens. Do not hide it above a suspended ceiling without checking the material and coverage. Avoid putting all access points at one end of a long building and hoping the signal will travel.

Separate staff, guest and device networks

Create a staff network for managed business devices and a separate guest network for visitors. The guest network should reach the internet but not printers, servers, shared folders or other internal devices. Put cameras, door controllers, smart TVs and similar equipment on their own network where practical. Segmentation limits the harm if a visitor device or simple connected device is unsafe.

Give each network a clear name without publishing the company address, suite number or password clue. Consider whether guests need a password, a captive page or access supplied by reception. Set a sensible bandwidth limit if visitor use is affecting staff calls. Use current security and a good password routine

Use WPA3 where all important devices support it, or WPA2/WPA3 mixed mode where older equipment needs it. Do not use old WEP or open WiFi for staff access. Use a long, unique staff password and change it when somebody with knowledge of it leaves. A password manager is better than a label underneath the router. Turn off WPS, change default administrator passwords and keep the network equipment firmware current.

For a larger team, consider individual WiFi authentication rather than one shared password. It takes more setup but means one person can be removed without changing every device. Keep a written record of who administers the WiFi platform. The same access discipline belongs in your staff joiner and leaver process.

Check the broadband line behind the WiFi

Good WiFi cannot repair a slow, overloaded or unreliable broadband service. Test the line at the router with a wired device first. Look at download, upload, latency and stability at busy times, not just a single speed-test result at breakfast. Video calls, cloud backup, large file uploads and hosted phone calls all need upstream capacity as well as download speed.

Ask whether the service has a business-grade fault response, whether a 4G or 5G backup is sensible and whether the building can get a better connection. Fix dead spots methodically

Review the network after furniture moves, a new tenant arrives next door or the headcount changes. If users are regularly losing work or calls, do not normalise it. A planned IT support check can identify the bottleneck and document the fix.
